Job Description
Job purpose of the role:
Provide effective leadership to the portfolio, which includes:
student and academic administration;
student experience including student welfare and wellbeing;
management of international students including student pass (visa);
management of Student Association, UoSM clubs and societies;
Library and common learning space; and
career guidance and support.
In addition, work effectively with relevant internal and external stakeholders in delivering the functions of the portfolio. In carrying out the responsibilities, at all times, ensure a client-centred approach, systematic delivery of services and adherence to the Government and the University requirements. As UoSM is going through an expansion, this position may evolve with time to fit the needs and requirements of a growing institution.
Key accountabilities/primary responsibilities:
Ensure high-quality provision of student and academic administration covering the complete student life cycle from pre-admission to graduation. Key areas include the management of student registration and enrolment, timetabling, student records, student system (BANNER), examinations, academic integrity and special consideration cases, student complaints, academic appeals, student disciplinary cases, transition students and graduation. The portfolio also includes providing relevant support to the Head of Academic Quality & Innovation on MQA related matters.
Ensure high-quality student support that includes effective induction programmes, relevant enabling services, pastoral care and counselling, at all times addressing any student issues effectively and in a timely manner.
Provide appropriate guidance and support to the Student Association and all UoSM clubs and societies to ensure the best outcomes and experience for the students.
Contribute to the development of the Digital Library and ensure its smooth operation extending to the common learning space.
Ensure professional provision of career guidance and support to students.
Ensure timely renewal of all international student passes and effective management of international students following the requirements set by MoHE and KDN.
Ensure all Government requests are attended to appropriately and in a timely manner.
Provide effective leadership with respect to the portfolio’s responsibilities by ensuring that the department:
has staff members in appropriate numbers with abilities, attitudes, motivations, performance levels and position descriptions required to deliver the department’s responsibilities;
is managed effectively through systematic development and strict adherence to all policies and procedures;
plans and manages its budget and resources efficiently and effectively;
complies with relevant Government and University requirements;
reports professionally and accurately on matters related to the department’s responsibilities;
engages effectively with students, faculties and other departments in providing its services; and
manages complaints and incidents in an effective and timely manner.
Any other duties as allocated by the line manager following consultation with the post holder.
Requirements:
Minimum Bachelor's Degree or any other equivalent qualifications.
Knowledge of Higher Education in Malaysia.
Significant experience in managing an array of student services and supervisory experience.
Experience in working in an international university setting.
Able to plan and manage the department effectively ensuring plans complement the broader organisational strategy.
Demonstrable experience of using initiative and adopting a positive/proactive approach to problem solving.
Proven experience of successfully using analytical skills to solve an institutional problem.
Experience in analysing data to provide clear proposals for action and to identify the resource implications of such proposals.
Capacity to assess and communicate priorities, organise multiple activities and plan workloads
Proactive approach to managing staff, processes, resources and projects.
Proven experience of motivating and mentoring staff ensuring quality and productivity standards are met; identifying training needs and organising appropriate provision.
Experience of managing diverse groups with varying levels of skills and ability.
Demonstrable experience of managing team dynamics, ensuring any potential for conflict is managed effectively.
Produce high level reports and plans in a clear and concise way.
A confident and experienced negotiator and communicator and able to interact with stakeholder groups/individuals in a sensitive and effective way.
Proven ability to achieve understanding and cooperation to effectively influence others
Manage projects and workloads to meet timescales, budgets and desired outcomes.
